This notice explains how SJ DOES handles email addresses submitted to request a downloadable resource.

Privacy notice: PDF requests

Who is responsible for your information?

The data controller is Suzanne Jeffers, trading as SJ DOES. For questions or requests about your personal information, contact sj@sjdoes.com.

What information is collected, and why?

When you request a PDF, we collect your email address and the title of the resource you selected. We use these details only to manage your request and email you that PDF. We do not add PDF request addresses to a marketing list or use them for marketing. Formspree may also automatically collect technical information such as your IP address, browser type, access time and referring website, as described in its policy below.

Our legal basis

We rely on our legitimate interests (UK GDPR Article 6(1)(f)) in responding to a resource request you have chosen to make and sending you the requested PDF. We consider this use proportionate because you initiate the request and would reasonably expect us to use your email address to send the selected resource. We limit this use to fulfilling your request, do not use the address for marketing, and delete our request record within the period set out below. You can object to this processing by contacting us; we will consider your request in line with data protection law. See the ICO's guidance on legitimate interests.

Form provider

We use Formspree to receive and forward resource requests. Formspree may process submitted information in the United States and other countries where it operates, and may share it with service partners that help provide its services. Formspree describes its data practices and international transfers in its Privacy Policy. Its policy does not specify a fixed retention period for form submissions. Formspree may retain information where required by law and may process it for its own service operation, security, legal purposes and communications about its services under its policy. Formspree may also automatically collect technical information such as your IP address, browser type, access time and referring website.

How long information is kept

We keep our request record for no longer than 90 days after sending your requested PDF, then delete it. If we cannot send the PDF, we delete the request record within 90 days of receiving it. This includes deleting the submission from our Formspree account. Formspree's published policy does not specify how long any residual copies or backups are retained, so deletion from our account may not immediately delete copies held by Formspree. See Formspree's policy linked above for its own handling and retention practices.

Your rights

Depending on the circumstances, you may have rights to access, correct or erase your personal information, restrict or object to its processing, and request a copy of it. To ask a question or exercise a right, contact sj@sjdoes.com. You also have the right to complain to the Information Commissioner's Office (ICO).
